Securing Collaboration: Managing Members of a Team Safe

Discover the standard roles available within team safe and learn how to invite new members.

Simply follow the steps outlined below to manage members of your team safe:

  1. Log in to your SecureSafe account.
  2. Access the dropdown menu for safes.

    From the expanded dropdown menu for safes, select an existing safe in the Team section.
  3. From the now expanded dropdown menu, select an existing safe in the Team section.
  4. Navigate to the left menu of the team safe you have selected, and then click on Members to manage the members of your team.

    Within the Members section, the default view automatically displays all members. You also have the option to switch between viewing only Activated or Invited members for easier management.

  6. The list of members will be displayed based on the selection you made in the previous step.

  7. The right sidebar displays the number of current members in the safe and the maximum number allowed based on the current subscription. In the example displayed above, there is one team member currently, but the safe can accommodate a total of two members (1 of 2).

  8. To add a new member, simply click on the Invite button.

  9. Complete the required fields in the invitation form:
    1. Enter the name of the person you wish to invite.

      When completing the form to invite a new member, you are asked to also define a role for them, choosing from Administrator, Editor, (Restricted) Viewer and Archivist.
    2. Enter the e-mail address of the person you wish to invite.
    3. Choose the role that you would like the invited member to have from the dropdown menu. For a better understanding of the standard roles available, refer to the overview below.
      • Administrator: An administrator in a team safe possesses complete control over all files and documents. This includes the ability to view, download, edit, delete, and add files. Additionally, administrators can manage team members by adding or removing them, as well as adjusting their roles within the safe.
      • Editor: An editor in a team safe has full access to all data, allowing them to view, download, edit, delete, add files, securely send files, and share file links with other team members. However, editors do not have the ability to invite new members or modify the roles and permissions of existing members.

      • Restricted Viewer: A restricted viewer is limited to viewing documents using SecureViewer or the mobile app, and can share file links with other team members. This role is designed to safeguard sensitive content from being downloaded from the team safe. Additionally, a restricted viewer does not have the ability to edit, add, or remove team members from the safe.

      • Viewer: A viewer has the ability to view and download files and documents within a team safe using SecureViewer or the mobile app. They can securely send files and share file links with other team members. However, viewers are not able to make changes to existing files, upload new files, or manage team members within the safe.

      • Archivist: An archiver in a team safe can view, download, and upload files, securely send files, and share file links with other team members. However, they are unable to edit or delete files. By assigning the archiver role to all members of the team safe and formally requesting SecureSafe to convert it into a digital archive, the team safe can function as a true digital archive.

    4. Choose the language of the team member by selecting the preferred option from the dropdown menu in the Language field. 
    5. Select one of the provided options for the Security code field.
      • Display code in the next step: To ensure secure access to the team safe, an access code will be provided in the next step. It is important to share this code with the recipient through a different communication method, such as chat, text, phone call, etc., to maintain security.

      • Send code via SMS: A security access code will be sent to the invite recipient for secure access to the team safe. The recipient will need to provide their number in the next step to receive the code.

    6. If you chose to send the code via SMS in the previous step, please enter the recipient's mobile phone number by following these steps:
      1. Click on the pencil icon next to the Mobile phone number field. This will open a window where you can enter the recipient's phone number.

      2. The location dropdown is automatically expanded, allowing you to easily select the country where your mobile phone is registered.

      3. Enter the recipient's mobile phone number in the designated field labeled Mobile phone number.
      4. Verify the changes to the recipient's mobile phone number by clicking on the OK button.

    7. To proceed, click on Invite.
